Attendees: Benjamin, Pam, Yeliz.
Updating the Membership:
- Benjamin reached out to TC8 prior to the IFIP TC8 meeting about the challenges we are facing regarding both regarding the financial topics and about GDPR.
- There’s a privacy statement from February 2025 (https://www.ifip.org/privacy-policy)
- IFIP central requires all of the IFIP groups to update their members list. We can use this opportunity to both update the members list and also recruit volunteers to the events, Ask them to review their data records, Add a link that points to the privacy statement (checkbox that allows them to check a box that says they allow us to use their name and affiliation on the website)
- We need to update the registration process of the new members, so that these two check-boxes are available.
- If they do not update their affiliation and website, then they will drop off from the website. To avoid losing all the members, we can have a statistical aggregate at the top that shows our reach in terms of number of members and how they are distributed across countries.
Yeliz to Ask Kevin to:
- Update the membership database, so it has two additional check boxes
- Add these two for new membership
- Can we keep track of what is
- Several weekly or biweekly reminders
- Then have a list of those who did not respond.
Action Steps:
1) Kevin to update the database and the interface
2) We send the email through the email system
3) Pam and Yeliz to share the non-responsive members and update their contact information
About IFIP vs IFIP8.2 Website:
The challenge is that the privacy statement does not address the fact that we are hosting our website outside of the IFIP central. We decided that once we clean up our list, Benjamin may bring this issue up to IFIP central’s attention and have it be an item on their task list to address.
Financial:
- AIS is not able to pay IFIP when we do not have a tax number. All other working groups or TC8 members do not seem to have an issue with this. Either they are doing everything in EU, or they may have an institute that is helping them out.
- We can maybe go through AIS for collecting money on our behalf, pay for events, and then keep the money on an account.
- If/How/when to reach out to AIS for this is not finalized in this meeting – This may be something that could be discussed at the business meeting.
Commemorating Nancy Russo:
- Nancy passed away recently. Yeliz asked if we can do something to commemorate her. One idea would be to give a paper award in one of our conferences.
Annual report
- Benjamin will draft it and get our feedback before posting it.
Awards Application for Matthew
-Benjamin will clarify
Host a Virtual Business Meeting Earlier
- Instead of hosting it after ICIS, we can do one late November 2026 to update members on the complex issues we are battling. And remind people that we need volunteers to do the work.
- Pamela wanted to emphasize virtual events, which Yeliz agrees on.
- We need to put together an OASIS paper development workshop (virtually or at a conference)
- Yeliz will put together a poll for the date of the Business Meeting (in mid-November) or Early February next year. 10pm CET / 4PM EST seems like the best time.
- Pam will put together a poll for a pre-meeting for preparation of the business meeting.
